One of Alloprof’s priorities is maintaining the confidentiality of communications with users and the security of any information collected through the use of its services. Alloprof is committed to respecting the privacy of its users and protecting their personal information. With the exception of the cases described below or provided for by law, any personal data or information collected by Alloprof is kept and accessed solely by Alloprof and is used solely for the purpose of offering, optimizing, or improving its services or promotional activities.
This Privacy Policy has been produced to comply with the laws of Quebec and Canada, namely Quebec’s Act respecting the protection of personal information in the private sector and Canada’s Personal Information Protection and Electronic Documents Act (the Privacy Laws).
Alloprof has designated a privacy officer (PO) responsible for overseeing the organization’s compliance with this Policy and applicable privacy laws. Types of Personal Information We May Collect and for What Purposes
Personal information is collected and processed by Alloprof in accordance with the Privacy Laws, and, where necessary, with the consent of the individuals concerned.
The following personal information is collected by Alloprof for the purposes detailed below:
To secure the user’s account and ensure compliance with our Terms of Use
- User’s email address
- Password
- Internet Protocol (IP) Address
To personalize the use and promotion of our help services
- Type of user: Are you a student, parent, or teacher/education professional?
- Student’s grade level
To ensure that interactions with teachers are exclusive to Quebec residents
- User’s province of residence
To secure phone and text conversations with teachers through automated callbacks, and to communicate with users (e.g., to provide an assistance follow-up or ensure quality service)
- User’s phone number
To monitor the quality of service and staff training
Interactions are recorded for quality control and training purposes. Users are informed of this practice and may object where permitted by law.
- Recordings of interactions between the user and our teachers via telephone, chat, and text message services
To send our newsletter to subscribers and to notify winning contest participants
- User’s email address. Please note that subscribing to our newsletter or entering a contest is contingent on the user’s explicit consent, which may be withdrawn at any time.
To improve our services and deepen our knowledge of education sciences, particularly through artificial intelligence
- Any data collected by Alloprof may be used for analysis, research, and development purposes within the legal, ethical, and operational framework described below.
To assess candidates for positions at Alloprof
- Contact information, curriculum vitae (CV), background checks, employment experience, and any other information required to select our teachers and employees
To respond to questions, requests, or other communications
- Contact details and any other information you choose to send us in connection with your request
Technical data
- Alloprof collects technical data on user behaviour on its platforms (e.g., device type, operating system, session length, interactions, navigation data via cookies), for the purpose of analysis, optimization, and continuous improvement.
We may also collect personal information in order to comply with applicable legal and regulatory requirements, or for other purposes permitted by law. We do not collect personal information for any other purposes, except with the consent of the individual concerned.
Managing Cookies
When you use our online services, cookies may be added to your device. These files are used to ensure the smooth operation of our website, improve your experience, and gather certain information for analysis purposes. Most web browsers allow some control over cookies via their settings. Below are links to the cookie deactivation pages of popular web browsers. When Personal Data Is Transferred to Third Parties
Alloprof does not sell the personal information it collects directly or receives through third parties.
- Alloprof will transfer information to the authorities when required by law, namely, to prevent an act of violence if there is reasonable cause to believe that there is an imminent threat of death or serious bodily harm to an identifiable person or group of persons, or if the life, health, or safety of the person or persons concerned is at risk.
- Alloprof contributes to university research and reserves the right, for this purpose and within the strict framework of studies subject to an ethical certification duly adopted by competent academic authorities, to grant access to its data to researchers subject to this ethical certification.
- Alloprof reserves the right to transfer user data to suppliers who contribute to the improvement or development of our services. These suppliers offer services in various categories, such as server hosting, software engineering, and marketing. Alloprof ensures beforehand and throughout the data life cycle that the security measures and protocols required by law and outlined in its own organizational guidelines are put in place.
- Alloprof requires contractual commitments from each of its suppliers concerning confidentiality, security, and compliance with the Privacy Laws. These commitments are maintained for the duration of the data processing.
User Responsibility
On certain Alloprof platforms, such as the Help Zone, users can disclose personal information that is visible to other users. In its Terms of Use, Alloprof expressly prohibits the disclosure of information that could be used to identify or contact a user outside of its platforms. Users are solely responsible for non-compliance with the Terms of Use of Alloprof services.
When a user voluntarily discloses personal information in a public or semi-public area of the platform, this action is considered a disclosure by the person concerned, and not by Alloprof. Users are hereby informed that they may, at any time, exercise their right to access, rectify, or delete their personal information by contacting us at the following address protection_renseignements@alloprof.qc.ca.
Alloprof reserves the right to ban from its platforms any user who fails to respect its Terms of Use. Furthermore, users are aware that while Alloprof closely monitors conversations on its platforms, it may take some time before personal information they’ve made visible to other users is deleted.
Alloprof undertakes to promptly remove any inappropriately visible personal information as soon as it becomes aware of it, within the technical limitations of the platform. However, immediate deletion cannot be guaranteed in all cases, particularly if the information has been copied or redistributed by other users.
The user or the legal guardian responsible for the user is solely responsible for the consequences of non-compliance with the Terms of Use of Alloprof services.
Collection of Additional Personal Information
Alloprof reserves the right, in the course of its activities, to request additional information from its users. This information is collected only with the explicit, free, and informed consent of the user or the legal guardian responsible for the user, in accordance with the Privacy Laws.
This information is used solely for the purpose of optimizing, improving, or promoting its services and is not shared with the public or any third party in a form that would identify the individuals, unless the user or the user’s legal guardian is expressly informed otherwise. This may include, but is not limited to:
- Where users first heard about Alloprof’s services
- The main language they speak at home
- Whether they received a code as part of an Alloprof promotion
- Academic support habits
The user is always informed that these questions are voluntary, and that whether or not they complete the questionnaire will not affect their right or ability to access Alloprof’s services.
Links to External Sites (Hyperlinks)
As part of its online services, Alloprof occasionally links to sites outside its own organization. Alloprof verifies the quality and educational relevance of these sites to the extent possible, but is not responsible for their content, the application of their terms of use or privacy policy, or the absence of such terms or policies. Alloprof encourages you to review the privacy and confidentiality policies of these sites before providing your personal information.
When these external sites collect your personal information, they act as controllers distinct from Alloprof. As a result, Alloprof has no control over how your information is collected, used, or stored by these third parties. It is your responsibility to read their policies carefully before interacting with them.
Security Measures for Storing Personal Information
Alloprof has implemented reasonable and adequate security measures to safeguard the information it collects. The organization limits the collection of information to what is strictly necessary for the performance and improvement of its services. All data is stored in a secure environment. Only persons designated by Alloprof have access to personal information, strictly within the scope of their work. Any personal data collected accidentally or for a purpose other than those set out in this policy will be destroyed as soon as possible.
Alloprof applies security measures proportionate to the risks identified, including access controls, logging mechanisms, regular backups, and staff training. A privacy impact assessment (PIA) is carried out prior to any project to acquire, develop, or overhaul an information system involving personal information.
Data Storage
Your information is stored in a secure cloud environment hosted in Quebec. Only designated individuals employed by Alloprof or its suppliers may access this information, and only in the course of their duties. Some information is processed by third-party suppliers based in the United States or Europe. Please note that privacy laws in these jurisdictions differ from those in Canada and Quebec. In such cases, Alloprof ensures that the information protection practices comply with the applicable laws in Quebec and Canada, as well as its own privacy standards.
When a transfer to a supplier located outside Quebec is anticipated, Alloprof conducts a preliminary assessment to ensure that the information will be adequately protected, and documents this assessment in accordance with the requirements of the Privacy Laws.
Data Retention Period
Alloprof retains personal information for as long as it takes to provide the services for which it was collected. For example, user account information is retained until the user ceases to use Alloprof’s services, whether because they’ve graduated from high school or requested to close their account. The information is then destroyed or anonymized (i.e., it is no longer possible to associate the information with the individual who provided it).
The user may also request the deletion or anonymization of their information at any time, subject to applicable legal or contractual obligations. Alloprof applies secure and documented deletion mechanisms.
Note to Parents
Alloprof’s platforms are generally geared toward school-aged students. We encourage you to be vigilant about your child’s use of Alloprof’s platforms and any other media, especially with respect to the sharing of personal information. Alloprof assumes that if your child is under 14 years of age, you have given prior consent for them to use the Alloprof platforms.
Your Rights and How to Exercise Them
Your personal information belongs to you, and it’s essential that you know your rights and how to exercise them.
As an educational organization, Alloprof firmly believes that students—and those involved in their education—should be informed and critical when using digital technologies.

We will process your request within 30 days. In some cases, a reasonable extension may be required, in which case you will receive notice of such extension in accordance with the Privacy Laws. Before we act on your request, we may ask you to confirm your identity.
You have the right to give, refuse, or withdraw consent to Alloprof for the collection, storage, processing, and communicating of your information.
The user always has the option of accepting or refusing to provide personal information. The user may also withdraw their consent. At any time, the user may request the deletion of their account and all related personal information. This refusal or withdrawal may prevent us from providing you with certain services. If this is the case, you will be informed at the time of your request.
For example, for the above-mentioned reasons (e.g., security), certain services, such as those requiring an Alloprof account, cannot be offered without collecting certain information.
You have the right to access your information.
This right includes access to the categories of people who have access to this information within the organization, the sources of collection, and the purposes for which the information is used.
You may request access to your information on file, except where restricted by law.
You have the right to have your information corrected.
The accuracy of your information contributes to the quality of our services. Alloprof takes great care to ensure that the user information collected is accurate. If you notice an error in your information, please let us know and we’ll make the necessary change as soon as possible.
You have the right to portability.
You may request that your personal information be communicated to you or, where technologically feasible, a third party, in a structured, commonly used technological format.
Note to Teachers
Creating Student Accounts
Teachers, duly authorized by their educational institution or school board, are entitled to create accounts for their students on the Alloprof platform. In exercising this responsibility, they undertake to comply strictly with all applicable legal, regulatory, and institutional obligations regarding privacy and the protection of personal information, such as those prescribed by the competent public authorities as well as by their school board or educational institution.
Consent
Before creating an account for a student, the teacher must ensure that the required parental consent has been validly obtained. Such consent may be obtained directly from a parent or legal guardian, in the form of an explicit, informed, and verifiable agreement, or confirmed as having already been obtained by the educational institution or school board, provided that it specifically covers the use of the Alloprof platform and is still in force. It is the teacher’s responsibility to exercise due diligence in verifying the existence and validity of such consent before creating an account for a student.
Rights and Obligations
The teacher certifies that they are duly authorized to act on behalf of their educational institution or school board, and that they have obtained any consent and/or approvals required to create student accounts on the platform. They also agree to share access to these accounts only with expressly authorized staff members, within the limits of educational needs, and in compliance with applicable privacy and confidentiality laws.
Non-Liability
Alloprof acts as a digital service provider and assumes no decision-making role with respect to the initial collection of students’ personal information by teachers or school boards. As a result, Alloprof is under no obligation to verify, audit, or control educational institutions, school boards, or teachers with respect to the obtainment or validity of parental consent. Under no circumstances will the organization be held responsible if a teacher proceeds to create a student account without first having obtained or validated the required consent. This responsibility rests exclusively with the teacher and, where applicable, the school or school board concerned.
Note to Donors
Alloprof accepts donations from individuals and companies through the CanadaHelps online donation platform.
All information collected by the CanadaHelps platform is governed by the CanadaHelps privacy policy, which can be found at www.canadahelps.org/en/privacy-policy/
Alloprof collects donors’ personal information so that it can issue tax receipts. This information includes the donor’s name, their mailing address, and the amount of the donation. This information is subject to the provisions of the Privacy Policy described above.
Changes to the Privacy Policy
We reserve the right to change this Privacy Policy at any time. Changes take effect as soon as they’re published on our website. We encourage users to review this policy regularly to be aware of any changes.
Any material changes to the Privacy Policy or the Terms of Use will be announced to users of our website by means of a pop-up window published on Alloprof’s platforms inviting the user to consult the new version of this document. For the time being, this pop-up notification method does not apply to all our products, namely our games or mobile applications. However, this may change in the future.

Terms of Use
Consent
By using Alloprof’s platforms and services, you acknowledge that you have read the Terms of Use and Privacy Policy and agree to abide by them. Alloprof reserves the right to modify the Terms of Use of its platforms and services without notice. Users of Alloprof’s platforms and services agree to abide by the most recent Terms of Use as made available from time to time on this page.
Alloprof Services
Alloprof is a registered charity whose mission is to get Quebec students and their parents invested in academic success by offering free, professional, and engaging academic support services. Alloprof’s online platforms are one component of Alloprof’s services. They enable young and adult students, as well as their parents, to find information, hone their skills, and get in touch with teachers to work on specific academic challenges. Alloprof’s teachers and services specialize in the concepts covered by the Québec Education Program for elementary and high school students.
Alloprof staff and teachers reserve the right to delete any question or content submitted, or to terminate any conversation that deviates from this framework. Users who interfere with the proper functioning of the services by not respecting these limits may have their access suspended or permanently blocked.
Rights of Use
Users can browse Alloprof’s platforms and use its services in accordance with the Terms of Use. Any breach of the Terms of Use may be subject to penalty at Alloprof’s discretion. Alloprof reserves the right to ban users from its platforms. In addition, any action taken by a user on Alloprof’s platforms or while using its services that violates the laws applicable to the province of Quebec may result in civil or criminal proceedings.
Intellectual Property
Unless otherwise stated, Alloprof is the sole owner of the intellectual property and copyrights of the products grouped under the name “Alloprof,” the domain name “Alloprof,” and all its subdomains. The term “Products” includes, but is not limited to, digital platforms and their components, texts, images, videos, sounds and music, photographs, graphic illustrations, slogans, and applications and software, including their source codes and all components of their promotional material. Users are authorized to engage with the Products for personal use only and may not use them for commercial purposes.
It is forbidden to reproduce, incorporate into a third-party digital platform, download, copy, print, distribute, sell, rent, license, modify, index, catalogue, merge with other data, or mirror any Product, in whole or in part, without Alloprof’s written consent. It is also forbidden to engage in screen scraping or data scraping and any other activity, automated or not, intended directly or indirectly, to collect, store, copy, reproduce, reorganize or manipulate a product or part of its content, under penalty of violating copyright and these Terms of Use.
The user grants Alloprof the irrevocable right to collect, store, use, modify, or transfer any content belonging to them that they provide or post on Alloprof platforms. Such content includes but is not limited to text, images, audio, video, and any form of digital data. The rights transferred to Alloprof regarding personal information and how it is managed are detailed in the Privacy Policy.
Use of Generative Artificial Intelligence (GenAI) in Our Multimedia Content
In the interest of transparency, Alloprof would like to inform its users that certain images may have been created using generative AI, using software such as Adobe Firefly or Midjourney.
Whenever possible, we use reference images and digital graphics created by Alloprof to produce AI-generated variations of them. All prompts are original and free of any terms or names of authors, artists, professionals, or celebrities associated with intellectual property protected by copyright. The aim is to generate images more quickly so we can provide students with as many educational tools and resources as possible.
Access to Alloprof Platforms and Services
Alloprof aims, to the best of its ability, to provide reliable and secure platforms and services. Its platforms and services are available to users during specific operating hours. Alloprof reserves the right, without further notice, to interrupt access to any of the services or platforms, or to withdraw any of their functionalities or any of their content. Alloprof cannot be held responsible for any damages deemed to have been incurred as a result of such interruption or withdrawal.
It is expressly forbidden to access or grant access to any Alloprof platform or service for illegitimate purposes. Illegitimate purposes include the following:
- Any fraudulent access using another person’s Alloprof login credentials without their explicit permission
- Any attempt by any method, including any technological or computer means, to obtain a user’s password without the user’s knowledge
Any attempt to access an account that is not one’s own constitutes fraudulent use subject to severe penalties, including being banned from Alloprof’s platforms and services.

Use of Alloprof Platforms and Services
The user is required to comply with the Terms of Use of Alloprof’s platforms and services at all times. They are also required to respect the Terms of Use specific to each platform or service they use.
Screenshots and Recordings
The user agrees not to record or capture any interaction with a member of the Alloprof staff (teacher, moderator, specialist, etc.) for purposes other than personal and educational.
Any distribution, sharing, or publication of a screenshot or recording, in whole or in part, on public platforms (social media sites, forums, websites) or by email, without explicit authorization, is strictly prohibited.
Prohibited Behaviours
By using Alloprof’s platforms and services, you agree not to do any of the following, nor to give anyone the opportunity to do any of the following:
- Access, attempt to access, or operate Alloprof platforms and services by any means, technological or otherwise, other than those normally intended for these purposes. This includes, but is not limited to, any attempt to hack into computer systems, send spam emails, or transmit viruses, as well as the use of malware, computer worms, or any other similar program.
- Engage in behaviour that violates the Terms of Use of Alloprof platforms or services
- In any way encourage conduct that may violate any law or regulation, give rise to civil or criminal liability under the law, or offend the general public
- Attempt to exploit or commercially exploit any platform, service, mechanism, or feature of Alloprof platforms or services
- Obtain or attempt to obtain other users’ personal information, including but not limited to their name, physical or virtual contact information, or Alloprof password
- Share personal information of others without the prior explicit consent of the person concerned or their legal guardian
- Interfere with or attempt to interfere with, by technological or other means, the proper functioning of Alloprof’s platforms and services
- Intentionally or unintentionally violate any applicable national or international law or regulation, or any regulation having the force of law
Alloprof will not allow the posting of content that is illegal, inappropriate, obscene, offensive, defamatory, threatening, abusive, or unrelated to the organization or its mission, and it reserves the right to remove such content at its sole discretion and without notice.
Alloprof uses respectful language and expects users to do the same. This means refraining from making personal attacks, using inflammatory language, and engaging in any kind of dispute with other members of the community.
Any prohibited behaviour may result in sanctions against the perpetrator, including being banned from Alloprof’s platforms and services or the initiation of appropriate civil or criminal proceedings.
Limitation of Liability
Alloprof employs educators who hold a teaching certificate issued by the Ministère de l’Éducation du Québec. Alloprof employees and educators work diligently to ensure that Alloprof’s platforms and services offer quality academic resources and that they are updated regularly. Nonetheless, Alloprof’s platforms and services may contain or present inaccurate information or typographical errors. All information is subject to changes or updates without notice. Alloprof may also, at any time, make improvements or changes to the content published on its platforms and services.
Alloprof cannot be held liable for any damage or loss suffered or alleged by any user due to inaccuracies or errors in its platforms or services.
Furthermore, Alloprof cannot be held liable for any incident related to the use of its platforms or services on users’ devices or systems.
Security
Users are fully responsible for the confidentiality of their data and personal information. Alloprof and its partners use computer systems that meet high security standards. However, Alloprof and its partners cannot guarantee the absolute security of these systems, including user accounts and the information they contain. Alloprof and its partners cannot be held liable for any equipment damage or any inconvenience or loss suffered by a user that is attributed to the use of Alloprof platforms or services.
Users are responsible for ensuring that their computers, digital devices, and operating systems are regularly updated and equipped with protection against cyberattacks.
Registration
Users can create an Alloprof account for which they must provide the following information:
- Their status (parent, student, adult student, or teacher)
- A valid email address belonging to them
- A password
- Their grade level
- Their primary language of instruction
- Their province
Alloprof reserves the right to request further information from its users.
This information allows Alloprof to optimize and personalize the user experience on its platforms and services.
The collection and keeping of information is subject to Alloprof’s Privacy Policy.
Account Termination
Users can request to have their Alloprof account closed at any time by writing to info@alloprof.ca. Users understand that having an Alloprof account is required to use certain services, such as Ask a Teacher, and to access the full range of features for services like the Help Zone or video games, and that they will no longer have access to these services and features if they close their account.
Any material changes to the Privacy Policy or the Terms of Use will be announced to users of our website by means of a pop-up window published on Alloprof’s platforms inviting the user to consult the new version of these documents.
